Position Summary:
The Donor Data Specialist supports the Development Department in achieving the fundraising goals of Treasure Coast Food Bank. This position is responsible for maintaining the organization’s donor information, recording gift transactions, and other activities using the organization’s donor Customer Relationship Management System (CRM) and other databases and software tools. The Donor Data Specialist plays a significant role in donor communications and ensuring efficiency and timeliness in processing donor information using best practices to maintain optimal data integrity.
Principal Duties and Responsibilities:
- Works with the Donor Relations Manager to maintain all Development Department data in the organization’s donor databases.
- Acquires a high level of knowledge regarding the organizations’ donor databases and software tools.
- Processes all incoming gifts, including receiving and sorting mail by revenue type, preparing daily cash logs, creating credit card batch reports, entering and importing gifts in the donor database, and creating and printing donor acknowledgments (approx. 35,000-45,000 gifts annually).
- Conducts database system back-ups troubleshoots challenges, and performs routine monitoring of the donor databases.
- Performs data entry practices following the organization’s standard operating procedures, data coding structures, and policies and procedures.
- Updates donor records to ensure accuracy, including donor contact information, communication preferences, donor giving-level segmentation, etc.
- Routinely exports and imports data for customized reporting and analysis, including daily financial reconciliation reports on other donor activities.
- Completes database cleanup projects as determined by the Donor Relations Manager and Chief Development Officer.
- Completes donor prospect research, as determined by the Donor Relations Manager and Chief Development Officer.
- Responds to general inquiries from donors by phone, email, or in person with the highest level of customer service and professionalism.
- Provides general support to the Development Department, including special events, community outreach, and other activities as assigned.
- Essential business/ first responder: In instances of a federal, state, or locally declared emergency, Treasure Coast Food Bank is typically considered an essential business service and emergency responder. All employees may be required to perform regular or emergent duties on-site. Employee safety is balanced with business and community necessity. Some positions are more likely to be required on-site than others.
- All other tasks as assigned.
Knowledge Skills and Abilities:
- Two (2) years of college-level education or equivalent experience. A bachelor’s degree in a related field is preferred.
- Strong data entry skills are required. Experience with DonorPerfect or similar databases is strongly preferred. A genuine interest in data entry and management is essential.
- Strong organizational skills, being detail-oriented, and having a commitment to excellence in work productivity are required.
- Knowledge of A/R processes is a plus.
- Capable of working under pressure and multi-tasking while working on several projects and consistently meeting deadlines.
- Ability to learn new data applications, customer service skills, and ability to work through challenges professionally.
- Strong oral and written communication abilities.
- Ability to work in a professional team environment.
- Efficient time-management, problem-solving, interpersonal, and conflict-resolution skills.

Physical Requirements & Acknowledgement:
This work is in an office environment. Must have the ability to sit at a computer workstation for up to eight hours. Ability to move, bend, lift, and carry up to 30lbs. on occasion throughout the 3 Food Bank facilities. Ability to communicate clearly in person and over the phone. Ability to interpret instructions and questions when asked. After business hours, work is required occasionally throughout the year. Travel between quad-county areas using a personal vehicle may be required.
