Title: Accounting Specialist Reports to: Controller

Position Summary:
The Accounting Specialist will support the mission of the Treasure Coast Food Bank and is responsible for all duties related to accounts payable, matching any purchases orders and receiving documents with invoices, assisting with vendors with account activity, and any administrative duties. The Accounting Specialist is an integral member of the Finance team and is responsible for all functions related to accounts payable, inventory, and administrative duties.
Principal Duties and Responsibilities:
- Performs all accounts payable functions including matching purchases orders, requisitions, receiving documents with invoices and keying into ECCA AP module, checking for accuracy, required signatures and approvals.
- Reconciles vehicle gas receipts to vehicle gas logs and monthly statements.
- Reconcile monthly credit cards transactions and payments.
- Assists vendors with questions concerning their accounts by reviewing and following up on statements/phone calls in a professional matter.
- Prepares suggested payments report for Control. Prints and posts accounts payable checks based on Controller’s approval. Pulls and submits with checks the required documents, following procedures designed and implemented by the Controller.
- Performs all accounts payable filing.
- Prepare monthly/quarterly contracts/grants reimbursements
- Assists in preparation of year-end audit.
- Issue and maintain W-9’s for all vendors requiring a 1099-MISC.
- Prepare year end 1099-Misc and distribute.
- Performs clerical tasks including copying, filing, word processing, and record keeping.
- Sets up new files each year regarding functions, i.e. A/R, A/P, contracts, grants.
- Cross trains / backup for the Inventory Specialist regarding processing of receipts/orders and A/R payments.
- Reconcile daily driver manifests for accuracy
- Generate Inventory Adjustments reports on a weekly basis to verify accountability.
- Assist in researching and resolving inventory discrepancies and problems.
- Effectively communicate and interact with Operational departments to ensure a comprehensive understanding of all aspects of inventory movement (receiving, distribution, internal transfers, etc.).
- Verify that transactions comply with financial policies and procedures.
- Maintenance and accountability for high levels of customer service (internal and external)
- Perform in a manner consistent with company Vision, Mission Statement and Operating Principles.

Knowledge Skills and Abilities:
- Computer proficiency in MSWord and Excel required.
- Detail oriented individual with the ability to analyze numbers and conduct research.
- Good written and verbal communication skills.
- Superior customer services skills in person and on the phone
- Excellent organizational skills to ensure maintenance of documentation and filing systems.
- AA in Accounting and accounting experience a plus.
- Ability to maintain confidentiality of Food Bank data.
- Ability to work in a diverse environment with people of various age, educational, ethnic, and socioeconomic backgrounds.
Physical Requirements & Acknowledgement:
This work is in an office environment. Physical activities necessary in the performance of this job: ability to site at a computer workstation for up to five hours at a time, ability to move throughout the 118,000-sq. ft. Food Bank facility in performance of duties, and ability to bend, lift and carry up to 30 lbs. on occasion. Ability to communicate in clear speaking voice in person and over the phone. Ability to interpret instructions and questions when asked. Ability to operate computer equipment. Ability to access transportation to travel to local events and meetings with external parties.
